BUILDING OPERATION EXECUTIVE
September 7, 2023SCOPE OF WORK: Oversee the quality of services and report to the Property Manager in establishing operational systems for the building, performing administrative tasks, monitoring and supporting the Property Manager in daily operations including training, planning, and ensuring the provision of best services through effective management.
RESPONSIBILITIES:
• This impacts the effective communication of information to department heads and colleagues at the project
• Implementing all policies and procedures under the direction of the Building Manager in a complete manner.
• Arrange appointments/meetings for the Managing Director as requested, attend and take minutes of meetings as required.
• Ensure efficient daily management of the building's operations.
• Ensure that the needs/requests for services from residents are noted and addressed in a timely manner.
• Organize and coordinate events as requested, such as resident meetings, Christmas and New Year parties, etc.
• Work and establish good relationships with local authorities on matters related to the job.
• Work with suppliers and ensure that services/products are provided professionally and on time.
• Respond to emergency situations calmly and effectively, according to company guidelines.
• Ensure proper supervision is conducted to maintain all public services, including air conditioning systems, fire protection equipment, swimming pool, generators, security and safety systems, and all other building-related public services.
• Maintain good working relationships and cooperation with all other departments.
• Assist Receptionists in updating residents/ tenants list, including temporary guests etc.
• Reasonably cooperate and coordinate with the Receptionists to resolve any problems which may occur at reception.

REQUIREMENTS:
• 2-3 year experience in related field
• College/ Bachelor Degree of Hospitality or Hotel Management or Tourism
• Proficient English (both speaking and writing)
• Expert in Excel skills
• Strong interpersonal, negotiation and communication skills for liaising with colleagues, customers and other stakeholders.
• The ability to work with IT resources such as databases and spreadsheets, for the collection and management of information.
• Excellent organizational and time management skills with the ability to multi-task
• Ability to analyze and solve problems well
